EXECUTIVE BOARD MINUTES

DECEMBER= 8, 2011

 

Executive Board Members present:  Presid= ent, Terry Benhardt; Vice President, Avery Finver; Treasurer, Gary Keay; Assista= nt Secretary and Merrimack Youth Baseball VP, Don De Beradinis; Member at Larg= e, John Schneider; Member at Large, Tim Kachmar and Arbitrator & Officials Liaison, Bob Shagoury

Absent:  Secretary, Karen Halvatzes

 

Others present:  Football/Cheerleading Director, Phil DeGregorio; Lacrosse Director, Gage Perry; Softball Director, Chris Chapman; Softball Representative, Rob Livie; Youth Baseball Director, Paul Williams

 

President, Terry Benhardt called meeting to order at 7:43 p.m.

Next MYA Meeting, Janu= ary 12, 2012; 7:30 p.m.; MYA Building.

Reviewed minutes from November 10th  meeting. No discussion.<= /span>

Avery Finver made motion to accept minutes as written.

Bob Shagoury seconded.  Passed unanimously.  Minutes of Novem= ber 10th  accepted.

 

Terry Benhardt – President.

-Terry Benhardt announced that Council member Bill  Boyd will have community meetings = and that attendance would be greatly appreciated to promote the MYA.

All four of the meet-ups will run from 10:30 a.m.-12:30 p.m., though Boyd said if the conversation was still going, he'd make himself available for longer.

The dates and locations are:

·= ;      = Saturday Dec. 10 at Swan Chocolates

·= ;      = Saturday, Dec. 17 at Out of the Woods Cafe<= /p>

-reminded Directors to deliver their Program’s minutes to Karen Halvatzes.=

-updated Softballs’ Director Chris Chapman on grass cutting at Reeds.  Terry and Avery to meet with Tom Tousseau and Adam Jacobs in February.

 

Gary Keay – Treasurer.

-wrote checks for $4,786.51, on file, for office supplies, Comcast, telephone, building cleaning; Legal fees and Insurance.

-all Programs to submit their 1099’s to Gary Keay on or before January 15<= sup>th.

 

Avery Finver – Vice President.

-quiet time of the year, all fields are status quo;

-Bise field house has been locked by the Town;

-Reeds 3 no current update, seeding work to continue in spring.<= /p>

 

 

Football/Cheerleaders Director – Phil DeGregorio.

One Cheer squad of 23 girls (with Coaches and Parents) went to Disneyland to compete in the Nationals and came in 5th place in the 11 R= 11; 13 year old competition. Congratulations went out to these girls.  Pop Warner Officials praised these girls, Coaches and Parents.  P= hil to work on recognition article for local media. Fields…Wasserman has bee= n buttoned up for the season, Vets is almost done with posts removed and sheds emptied.  Adam Jacobs has Football’s lights in storage at the DPW.  Winter football program looks to be three teams to play at NH Sportsplex (Grades 2-3, 4-5 and 6-7), Saturday ni= ght games starting on January 7th, 2012.  Football had their Annual meeting = and a new Treasurer was elected.  New Treasurer needs to meet with Karen for Bank cards. 

 

Soccer – no report issued.

 

Wrestling Director – Mike Brody emailed the following:

Sent Registration list and updated MYA Booklet pages to the MYA Asst. Secretary.  On January 7t= h there will be a Wrestling tournament.  Wrestling had their Annual meeting and new Bank cards are needed.  Also…informed the group that= there is no water on the Wrestling mats.

 

Girls Softball Director – Chris Chapman.

Currently off season, thinking about opening a separate Softball Tournament checking account with signature cards.  Gary Keay to forward idea to Jeff Dittman for his professional opinion.  Softball had their party the weeke= nd right before the snow storm.  = Avery Finver to contact Adam Jacobs to see if the Town is gong to pick up the bas= es off the fields.

 

Youth Baseball Director – Paul Williams.

Currently off season, relayed all registration and booklet information to MYA Asst. Secretary, working on winter training clinics for all ages to be held at the school gyms, and the batting cages in Nashua.  MYB Board working on upcoming spri= ng registration.

 

Lacrosse Director – Gage Perry.

Registration in full swing.  Gage to contac= t Eric Pfeifer for Constant Contact training to email blast out LAX information and registration times.

 

Youth Basketball – no report issued

 

Don De Beradinis – Assistant Secretary.

- MYA Booklet is being updated for the year 2012;

- Program registrations are being turned in;

- all Program Directors are working well with each other regarding building s= ign and marquee usage.

 

 

Tim Kachmar - Member at Large and MYA Parks & Recreat= ion Liaison.

Merrimack’s Holiday parade and tree lighting went well.  Parks and Rec discussing the revitalization of the White Hall, installing new sprinkler system, to be used by all Merrimack based organizations, includin= g the MYA.  P&R also discussing Wasserman field drainage and needed improvements to access the beach.  P&R to wait another year to ap= ply for a matching Grant.  Tim adv= ised the group that the Program fund allocation template has been revised and wi= ll be put in a cover page.

 

John Schneider – Member at Large.

-audited Soccer, Football and Basketball’s financial records.  John will continue auditing the ot= her programs during the course of each Program’s season.  Confirmed the current standing of = each Program’s Insurance Certificates.&nb= sp; Basketball to have a separate Tournament Insurance Certificate.  Inventory…Lacrosse and Footb= all are done.

 

Arbitrator & Officials Liaison – Bob Shagoury.

-no new sex offenders in Merrimack=

-MYA Executive Board to discuss “Positive Coaches Alliance” at the January meeting

 

New Business –

Town Council reached out to the Rotary Club to host the 2012 Midway, to be held = at the High School.  MYA Programs= may have the opportunity to host booths at the Midway to be used as fund raisers.  Town Manager will pr= ovide Town supported infrastructure as needed.
